1. Eligibility and authority
You must be at least 18 and legally able to enter a contract. If you use PawfficeHQ for an organization, you represent that you are authorized to bind it. You are responsible for activity by users you authorize.
2. Accounts
Provide accurate information, protect account credentials, assign staff only the access they need, and promptly notify us of suspected unauthorized use. You may not share individual credentials or access another business’s data without authorization.
3. Trials, subscriptions, and modules
New accounts may receive a 14-day trial. Unless complimentary access or another written arrangement applies, continued access after a trial requires a paid subscription. Current advertised plans include Basic at $39 per month and Pro at $79 per month. Plan limits, specialty modules, features, and prices are shown at signup or in the service and may change with reasonable advance notice. Taxes and third-party processing charges may apply. Except where required by law or expressly stated, fees already paid are nonrefundable.
4. Customer data and responsibilities
You retain your rights in information you submit. You grant PawfficeHQ the limited rights necessary to host, process, transmit, back up, and display that information to operate the service. You are responsible for the accuracy and lawfulness of your records, obtaining required notices and consents, responding to your clients’ requests, and following retention and professional requirements applicable to your business.
5. Communications
You may use PawfficeHQ to send appointment, care, billing, and other messages. You are responsible for obtaining and documenting legally required consent, honoring opt-outs, identifying your business, and complying with telecommunications and marketing laws. Do not send unlawful, deceptive, harassing, or unsolicited messages. Carrier message and data rates may apply.
6. Payments and connected services
Stripe, Square, Twilio, Resend, Supabase, and other third parties may provide connected functionality under their own terms and privacy practices. You are responsible for configuring your accounts and fees with those providers. PawfficeHQ is not a bank, payment processor, insurer, or money transmitter.
7. Veterinary and care disclaimer
Licensed professionals and customer businesses remain solely responsible for clinical decisions, medical-record requirements, prescriptions, emergency procedures, client communications, and compliance with professional rules. Other pet-care businesses remain responsible for the safety and appropriateness of services they provide.
8. Acceptable use
You may not misuse the service; interfere with its operation; upload malware; attempt unauthorized access; scrape or reverse engineer the service except where law permits; infringe rights; use PawfficeHQ for illegal activity; or store information you are not authorized to process.
9. PawfficeHQ property
PawfficeHQ and its software, branding, designs, documentation, and related intellectual property belong to PawfficeHQ or its licensors. These Terms grant a limited, revocable, nonexclusive, nontransferable right to use the service during an active trial, complimentary period, or subscription.
10. Availability and changes
We work to keep PawfficeHQ reliable, but the service may be interrupted for maintenance, security, provider failures, or events outside our control. Features may be added, changed, or retired. We do not guarantee uninterrupted or error-free operation.
11. Suspension and termination
You may stop using PawfficeHQ at any time. We may limit or suspend access for nonpayment, security risk, unlawful activity, material violation of these Terms, or risk to PawfficeHQ or others. Where practical, we will provide notice and an opportunity to correct the issue. Provisions that should reasonably survive termination remain effective.
12. Disclaimers and liability
To the extent permitted by law, PawfficeHQ is provided “as is” and “as available,” without implied warranties of merchantability, fitness for a particular purpose, or noninfringement. To the extent permitted by law, PawfficeHQ will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or loss of profits, goodwill, or data. PawfficeHQ’s aggregate liability arising from the service will not exceed the amount paid to PawfficeHQ during the 12 months before the event giving rise to the claim. Some jurisdictions do not allow certain exclusions, so they may not apply to you.
13. Governing law
These Terms are governed by the laws of the State of Wisconsin, without regard to conflict-of-law principles. Nothing in these Terms limits rights that cannot legally be waived.
14. Changes and contact
We may update these Terms as the service evolves. Material changes will be communicated reasonably, and continued use after the effective date constitutes acceptance. Questions can be submitted through our online contact form.
